This policy explains what Far Ridge Collective does with your personal information, why, and what you can ask us to do about it. It applies wherever you live. If you are in the United Kingdom, the European Economic Area or California, you have specific rights that are set out below.
Who we are
Far Ridge Collective is a travel company registered in Nepal, operating private treks, tours, wellness and wildlife journeys. We are the data controller for the information described here.
Address: Thamel, Kathmandu, Nepal
Email: [email protected]
What we collect
When you enquire
Your name, email address, telephone number if you give one, your preferred travel dates, group size and anything else you choose to tell us in the message. The form is provided by WPForms and the data is stored on our website hosting.
When you travel with us
To arrange a journey we need more. That normally includes passport details and a photograph, because the Annapurna Conservation Area permit and the TIMS card cannot be issued without them. It also includes emergency contact details, dietary requirements and, where relevant, health information.
Health and dietary information
Some of what we ask for is treated as sensitive, or special category, information under UK and EU law. Health conditions fall into that group, and so do dietary requirements when they reveal a religious belief.
We ask for health information because our journeys reach altitude, and a guide who does not know about a heart or respiratory condition cannot keep you safe. We only ask for what is necessary, we rely on your explicit consent to hold it, and you can withdraw that consent at any time. If you withdraw it we may not be able to run the journey safely, and we will tell you if that is the case.
When you visit the website
We collect information about how the site is used through the services described in the next section.
Cookies, analytics and session recording
The website uses the following. Essential cookies are needed for the site to work. Everything else is optional.
Google Analytics
We use Google Analytics 4, loaded through a Google tag. It tells us which pages are read, roughly where visitors come from and how they move through the site. It sets cookies and processes an anonymised form of your IP address. Google acts as our processor for this and may transfer data outside your country. Google publishes its own privacy information at policies.google.com/privacy.
Microsoft Clarity
We may use Microsoft Clarity to understand how pages are used. You should know that Clarity does more than count visits. It records how you move the mouse, what you click and how far you scroll, and it can replay that as a session recording. It does not capture keystrokes in form fields, and it masks text by default, but it is closer to watching than to counting. Microsoft sets its own cookies for this. Microsoft’s privacy statement is at privacy.microsoft.com.
Your choice
Analytics and session recording are not necessary for the website to function. Where the law requires consent, we will ask before these load, and you can change your mind later. You can also block cookies in your browser, and both Google and Microsoft offer their own opt outs.
Why we use your information, and our legal basis
- To answer your enquiry and quote for a journey. Legal basis: steps taken at your request before entering a contract.
- To arrange and run your journey, including permits, accommodation, guides and transport. Legal basis: performance of our contract with you.
- To keep you safe at altitude, using health information you provide. Legal basis: your explicit consent.
- To meet legal and tax obligations in Nepal. Legal basis: legal obligation.
- To understand how the website is used and improve it. Legal basis: your consent, where consent is required, otherwise our legitimate interest in running a useful website.
Who we share it with
We share only what is necessary, and only with:
- The National Trust for Nature Conservation and the Nepal Tourism Board, or their agents, to obtain your ACAP permit and TIMS card.
- Hotels, lodges and resorts, to hold your reservation.
- Guides, drivers and the practitioners who lead cultural and wellness sessions.
- Airlines, for domestic flights.
- Medical or rescue services, if there is an emergency.
- Our website host, email provider, and the analytics providers named above.
We do not sell your personal information, and we do not share it for anyone else’s advertising.
Sending information to Nepal
This matters and we would rather be direct about it. We are based in Nepal. Nepal has not been the subject of an adequacy decision by the European Commission or the United Kingdom, which means it is not automatically recognised as offering equivalent data protection.
When you enquire or book, your information is therefore transferred to a country outside the UK and EEA. We rely on the transfer being necessary to perform our contract with you, or on your explicit consent where it is not. We protect it with access controls and confidentiality obligations on our staff and suppliers. If you would prefer not to have your information transferred to Nepal, we will not be able to arrange your journey, because the journey happens here.
How long we keep it
- Enquiries that do not become bookings: up to two years, then deleted.
- Booking and travel records: seven years, to meet Nepali tax and accounting requirements.
- Health information: deleted within twelve months of the journey ending, unless there was an incident we need to keep a record of.
- Passport copies: deleted once the permits are issued and the journey is complete.
- Website analytics: retained according to the settings in Google Analytics and Microsoft Clarity, typically no more than fourteen months.
Your rights
If you are in the UK or the EEA you can ask us to give you a copy of your information, correct it, delete it, restrict what we do with it, or send it to another provider. You can object to processing based on legitimate interests, and you can withdraw consent at any time without affecting what we did before you withdrew it.
To exercise any of these, email [email protected]. We will respond within one month. We do not charge for this.
If you are unhappy with our response you can complain to your national data protection authority. In the UK that is the Information Commissioner’s Office.
If you are in California
You may request the categories and specific pieces of personal information we have collected, ask us to delete it, and ask us to correct it. You may also opt out of any sale or sharing of personal information. We do not sell or share personal information as those terms are defined by California law. We will not treat you differently for exercising these rights.
Children
Our journeys are not sold to children, and we do not knowingly collect information from anyone under sixteen. Where a family travels with us, a parent or guardian provides the details for any child.
Security
We use encrypted connections on the website, restrict access to booking information to the people who need it, and require confidentiality from the suppliers we work with. No system is perfect, and we will tell you and the relevant authority if a breach occurs that is likely to affect you.
Changes to this policy
If we change how we handle your information we will update this page and change the date at the top. If the change is significant we will contact guests with a live booking directly.
